Add new punches or hours

The Timecard Mass Update feature is best for adding punches or hours when there are currently no time entries on the timecards. With Timecard Mass Update, time can be entered in bulk for one Reporting Date at a time.


1) Click Timecard in the navigation bar at the top and then choose the Timecard Mass Update option on the left.


2) Verify that the Timecard Mass Update option is selected.


3) Employee Search section is where you will select which employee timecards to update.

Use the dropdown menus to filter the employee list according to which timecards you want to update. Filtering is optional; if you wish to view timecards for all employees, do not apply any filters

Click the Fetch button to retrieve the Employee List.


4) Mark the checkboxes on the left of the list to select the timecards you want to update.


5) Timecard Update section is where you will specify punches and/or hours to add to the timecards.


Click the calendar icon to display the calendar and then click on a date to select it.


6) Use the Pay Type dropdown menu to select the applicable Pay Type. Pay Type will determine whether you can enter punches or total hours.


7) Use the dropdown menus to select the applicable Location, Department, and Job Code for the time entries.


8a) If entering punches, type the time into the entry spaces. By default, two punch entry spaces are provided. If you want to enter punches for Lunch and/or Break(s), additional entry spaces are required.


To display additional entry spacesclick the plus sign (+) icon. A typical day consists of four (4) time entries, but you can add as many as you need.


The gray square to the right of each time entry space indicates the type of punch. Punch type must be entered correctly, because the punch type will interact with the Lunch and/or Break rules to determine if the time will be added to or deducted from the timecard.


To verify the punch type, hover your pointer over the square. Click on the square to change the punch to a different type. Keep clicking to cycle through the different types of punches until you reach the type that you need.


Example of a typical day:



8b) If entering total daily hours, type the number of hours into the Enter Hours field. For eight (8) hours, enter 08:00.


9) Click the Update button to submit your changes.

10) A pop-up message will display at the top of the page. Click OK to confirm your changes.

11) A message will display near the top of the page that the changes to the timecards were saved successfully.


Edit existing punches or hours 

The Timecard Mass Edit feature is best for modifying punches or hours on timecards that already have time entries. With Timecard Mass Edit, timecards can be edited in bulk for one Reporting Date at a time.


1) Click Timecard in the navigation bar at the top and then choose the Timecard Mass Update option on the left.


2) Click the Timecard Mass Edit option to select it.


3) Use the dropdown menus to filter the employee list according to which timecards you want to update. Filtering is optional; if you wish to view timecards for all employees, do not apply any filters.


4) Click the calendar icon in the Reporting Date field to display the calendar and then click on a date to select it.


5) Click the Fetch button to retrieve the search results.


6) Time entries for the selected items will display. Click the plus sign icon (+) on the Location column header to expand the view to include all Organization Levels.

8) Click the Save Timecard button to save your changes.


A message will display that updates are in progress.

A message will display at the top of the page that timecards were edited successfully.
